Room Assignment:

• Where can I find information about choosing a room or finding a roommate? NOTE: Roommate Groups are not currently available due to limited space.

• How are room assignments made?

  There are three primary ways that we assign rooms.

  Self-Selection

  During this type of process, you will be assigned to a scheduled self-selection process and will be notified by email of your selection start date, start time and selection process end date. During self-selection, you can view available rooms, choose one, and assign yourself to it. If you are in a roommate group, the group leader is responsible for selecting rooms and assigning all group members. If you decide to be a part of a roommate group, keep in mind that roommate groups are locked approximately 24 hours before the self-selection process starts, and you won’t be able to change your group. Please finalize your roommate group ahead of time.

  Auto-Assignment

  With auto room assignment, we use your preferences in your housing application to let our assignment software help choose the best room assignment available for you. Students who are included in a self-selection process but who prefer to let us use the preferences they provided to match them or those who start self-selection, but, for whatever reason, do not complete the process, will automatically be included in the auto-assignment.

  Manual Assignment

  A professional staff member reviews your application preferences and assigns you to the closest match we can based on specific eligibility and rooms. Manual assignment is generally used for specialized requests or when space is too limited for self-selection or auto-assignment. Typical examples are room assignments related to Living-Learning Communities, ADA accommodations, University Athletic teams, and Housing staff.

• Do I have to choose my room, or can I let Housing take care of it?

  Participation in the Self-Selection process is optional. Some students, especially new ones, may feel uncomfortable choosing a room. That is perfectly ok! We are happy to find an assignment for you based on the information you provided on your housing application. If you want us to find an assignment for you, you don't need to take any action or choose a room. We will automatically include you in an auto or manual assignment process.

• Do I have to be in a roommate group?

  Being in a roommate group is OPTIONAL. You can browse profiles and contact some other students with approved housing applications. Some students find this helpful in finding potential roommates or getting an early start on meeting other students before moving in. Using this feature to get to know some people but not to join a roommate group is also ok. If you choose not to use the roommate finder, that is also ok. We are happy to help by taking care of the assignment for you.

• I’m trying to add someone to my roommate group, but the system says it’s “locked.” What does that mean?

  It likely means that you or the person(s) you are trying to add either already has a room assignment or you are not all in the same assignment process. Please contact our office for assistance with this issue.

• Why didn’t I get the building, room, or roommate I requested?

  Your Housing application is for a room in campus housing. As part of the housing application, we ask you to tell us your building, room, or roommate preferences. It’s essential to keep in mind that you do not apply for a specific building, room type, or roommate. We do our best to honor your room and roommate preferences, but because there are so many variables involved, we just can’t guarantee that we will be able to assign you to your preferred building, room, or roommate. The most common reason we couldn’t give you your preferred building or room type is that space wasn’t available in your top choice(s). University Village or single-room requests are common examples.

  Similar situations arise with roommates. You may have four people in your roommate group, but there isn’t a suite or apartment with four available spaces to assign the group together. It may also be that the roommate request is submitted after one or more of the roommates is already set. This is especially problematic when we don’t have a lot of space available to make changes. Timing may also be a factor. Roommates have to be in the same assignment process. It may also be that your preferred roommate(s) indicated that they preferred a different building or room type. This can cause a conflict in making the roommate match. Roommate assignments are fluid and subject to change due to cancellations, consolidation, facilities needs, change requests, etc. We are happy to continue working with students to complete room changes into the school year, so if we can’t honor your preferences at the start, you will have other opportunities to request a change.

• I would like to request a room or roommate change or update my housing application information. How do I do that?

  Once assigned to a room, your process is “locked,” any changes must be made through the Housing office. Another option is to place yourself on one of our waiting lists. When we accept waiting list requests, you will find the “request a change" button on your Residence portal page. You can email us if you just want to request an update to the information you submitted on your Housing application (Building preference, Room type, Profile message, etc.). Please include your name, W# and specify what you want to update.

• If I am no longer planning to live on campus, how do I request a cancellation of my housing agreement?

  If your plans have changed and you no longer plan to live on campus, you MUST complete a Request for Release Form. Until you are approved for release, you are financially responsible for fulfilling the contract terms. Requests to cancel your housing agreement are subject to approval. Termination fees may apply.

Move-In Information:

• When can I move in?

  Housing traditionally opens for move-in on the Friday before classes start. You do not need to sign up for a check-in time. Prime check-in hours are between 9:00 am - 6:00 pm, but if you arrive after 6 pm, no worries! We will have staff on-call and available to assist you whenever you arrive. If you arrive outside our scheduled office hours, please contact the staff member on duty, who will meet you at the designated office and help get you checked in. (Pro-tip: it’s a good idea to add these numbers to your contacts in case you need assistance later)

  Please log into your Residence portal and check your room assignment before you arrive. Room and roommate assignments may have changed as we continue to work with students on the waiting list and last-minute cancellations.

• What if I need to move in early?

  All students who move in early, regardless of the approved reason, will be charged a $25.00 per night early arrival fee. We do our best to accommodate early move-in when there is a real need for the exception. However, not all rooms are available and ready for early move-in. If you are not required to move in early, please plan to move in during regular move-in. If you are required to be on campus early, please fill out the immediately so we can confirm if your room is available and will be ready for you. Common examples of required early arrival include participating in Experience Weber, athletic teams, marching band, campus student employees, and international student orientation.

• What can I expect when I arrive?

  You will walk up to the office of the village you are moving into (Wildcat Village or University Village) where you will be met by a staff member who will confirm your assignment and issue your keys. 

• Will I have help unloading my car to move in?

  We ask for volunteers from the campus community to help with move-in on Friday and Saturday and have generally had some faculty, staff, and student volunteers. Our goal is to provide as much assistance as possible; however, move-in helper assistance cannot be guaranteed since this is a volunteer effort. Please plan accordingly. We also have a limited number of small dollies and flat carts available for checkout.

• What can / should I bring?

  The Community Guide has lots of helpful information, including information on prohibited items. It’s a good place to start. If you have questions or aren’t sure about a specific item, appliance, etc., please send us a short email and include information about the item(s) in question. We will reply as soon as we can. When in doubt, don’t bring the item until you have received approval.

• Waiting Lists, Room and Roommate Changes

  Our priority is to first accommodate as many students on campus as possible. Afterward, we’ll begin working on room and roommate change requests. We ask for your patience with the room change process. It may take several weeks before we can allow general room change requests.

• Meal Plans

  If you live in Wildcat Village, just a reminder that you are required to purchase a resident meal plan. If you did not participate in the early request to select your meal plan, you were assigned the Weber Basic meal plan. After that time, you can only increase your meal plan, you can’t change to a smaller meal plan or drop your meal plan.  Meal plan change deadlines also apply to residents of University Village who have chosen to purchase a meal plan.

• Parking

  You will need to buy an R or RW parking pass from Parking Services. 

• Building Access & Mobile Wildcard

  For additional security, your Weber Wildcard is now on mobile. To gain access to your building, you will need to set up your card on your phone by following these instructions. Once you have set up your wildcard, we can give you access to your building. 

• Mail Services

  You will have a mailbox and mail key assigned to you when you move in. Your address will depend on where you live and are listed below:

Move Out:

• When is Move Out?

  Moveout is the day after graduation and residents must be out by noon. 

• What is the process for Move Out?

  You will need to sign up for a checkout time. Before your checkout time, you must pack and move all your belongings, clean your unit thoroughly, ensure you are prepared to give the staff your keys and ensure you are ready to no longer have access to the building. After checkout, you will no longer be a resident. 

  MAIL FORWARDING — You will need to visit the  and fill out the form to change your address and forward your mail to your new residence. 

• What if I need to move out early?

  You are locked into a contract, which means you are responsible for payments for the entirety of your contract. Early release is not guaranteed and is decided on a case-by-case basis. If you need to move out early, please fill out the and a staff member will contact you.

• What if I need to stay late?

  Once your contract ends, you are expected to move out. However, you may request to stay late by filling out the . Additional fees will apply.
